1. Who We Are & Scope
This Privacy Policy explains how WordLord Media (“WordLord Media”, “we”, “us”, or “our”) collects, uses, shares, and protects your personal data when you visit wordlordmedia.com, use our Wordlord Media operations application at admin.wordlordmedia.com, contact us, or engage our services. We are a digital marketing and content studio based in Ludhiana, Punjab, India, working with clients in India and internationally (including the USA, Canada, and the UAE).
We act as the data controller (or “Data Fiduciary” under India's Digital Personal Data Protection Act, 2023) for personal data collected through this website and the Wordlord Media application. For data we process on behalf of clients as part of a paid engagement, we act as a data processor under the terms of the relevant client agreement.
2. Information We Collect
- Information you provide: name, email address, phone/WhatsApp number, company name, and the contents of your message when you submit a contact form, request a proposal, or message us on WhatsApp.
- Account information for Wordlord Media (operations app): name, email, role, and profile details used to authenticate and authorize invited staff and clients on admin.wordlordmedia.com.
- Google Sign-In / Google user data: if you choose “Sign in with Google” on the Wordlord Media application, we receive identity information from Google that you authorize — typically your Google Account name, email address, and profile picture (OAuth scopes:
openid, email, profile). We use this data solely to create or link your Wordlord Media account, authenticate you, and display your identity in the app. We do not sell Google user data, use it for advertising, or transfer it to third parties except as needed to operate the service (e.g. our hosting and database providers under contract) or as required by law. You can revoke Google access at any time in your Google Account permissions. - Client & billing information: for active engagements, project briefs, brand assets you share with us, and billing/contact details needed to deliver and invoice the work.
- Usage data: IP address, approximate location, browser and device type, operating system, referring URLs, pages viewed, and time on site, collected automatically to operate and improve the website.
- Cookies & similar technologies: small files used to remember preferences and measure aggregate site performance. See Section 5.
We do not intentionally collect sensitive personal data (such as financial account numbers, health, or biometric data) through this website. Please do not share such information in free-text fields.
3. How We Use Your Information
- Respond to enquiries and prepare branding, content, or marketing proposals.
- Deliver, manage, and invoice client projects and communicate about active work.
- Operate, secure, analyse, and improve our website and services.
- Send relevant updates or marketing communications where you have asked to hear from us (you can opt out at any time — see Section 11).
- Comply with legal obligations and enforce our Terms of Service.
4. Legal Bases for Processing
Where the GDPR or similar laws apply, we rely on one or more of the following legal bases:
- Consent — e.g. when you opt in to marketing or submit an enquiry.
- Contract — to provide services you or your organisation have requested.
- Legitimate interests — to run, secure, and improve our business and website, balanced against your rights.
- Legal obligation — to comply with applicable laws, including tax and accounting requirements.
Under the India DPDP Act, we process personal data with your consent or for legitimate uses permitted by the Act.
5. Cookies & Analytics
We use a minimal set of cookies and privacy-respecting analytics to understand aggregate traffic and improve performance. These include strictly necessary cookies (required for the site to function) and analytics/preference cookies. You can control or block cookies through your browser settings; doing so may affect some functionality. We do not use cookies to build advertising profiles of you across unrelated websites.
6. How We Share Your Data
We do not sell, rent, or trade your personal data. We share it only with:
- Service providers (processors) who help us run our business — for example hosting, database, email, analytics, and messaging platforms — under contracts that require them to protect your data and use it only on our instructions.
- Authorities or advisors where required by law, to establish or defend legal claims, or to protect the rights and safety of others.
- A successor entity in the event of a merger, acquisition, or reorganisation, subject to this Policy.
7. International Data Transfers
We are based in India and work with international clients and service providers. As a result, your personal data may be processed in, or transferred to, countries outside your own. Where such transfers occur, we take steps to ensure an appropriate level of protection consistent with applicable law (for example, contractual safeguards with our providers).
8. Data Retention
We keep personal data only for as long as necessary for the purposes described in this Policy — for example, for the duration of an enquiry or engagement and a reasonable period afterwards — and as required to meet legal, tax, and accounting obligations. When data is no longer needed, we delete or anonymise it.
9. Data Security
We apply reasonable technical and organisational measures to protect your personal data against unauthorised access, loss, alteration, or disclosure. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
10. Your Privacy Rights
Subject to applicable law (including the India DPDP Act and the GDPR), you may have the right to:
- Access the personal data we hold about you and request a copy.
- Request correction of inaccurate or incomplete data.
- Request erasure of your data where there is no overriding legal reason to keep it.
- Withdraw consent at any time, without affecting prior lawful processing.
- Object to or request restriction of certain processing, and request data portability.
- Nominate another individual to exercise your rights in case of death or incapacity (DPDP Act).
- Lodge a complaint with the relevant data protection authority.
To exercise any of these rights, contact us using the details in Section 16. We will respond within the timeframes required by applicable law.
11. Marketing & Communications
If you opt in, we may send you occasional updates or offers. You can opt out at any time by using the unsubscribe link in an email, replying STOP to a WhatsApp message, or contacting us directly. We will still send essential service messages relating to an active engagement.
12. Children's Privacy
Our website and services are intended for businesses and adults. We do not knowingly collect personal data from children. If you believe a child has provided us data, please contact us and we will delete it.
13. Third-Party Links
Our website may link to third-party sites (for example social platforms). We are not responsible for their privacy practices, and we encourage you to review their policies.
14. Accessibility Preference Storage
If you use our floating Accessibility Widget, your selections (such as reduced motion, contrast, and text-size settings) are stored locally in your browser's localStorage. This information is purely client-side, is never sent to our servers, and exists only to preserve your preferences on subsequent visits.
15. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or the law. We will revise the “Last Updated” date above, and material changes will be highlighted on this page.
16. Contact & Grievance Officer
